A 57-year-old contractor's digital nervous system — bidding portal, lead AI, content engine.

Cougar Companies — Heavy Civil Construction · Southwest Florida

Cougar competes on reputation in a market where opportunities are increasingly bid and tracked online. Subcontractors got plans by email and no one knew if anyone had opened them. Phone leads from CallRail lived in a dashboard nobody checked. Lead qualification happened on the front-office voicemail at 5pm.

A marketing site that doubles as an operating console. Each service page has its own animated equipment chatbot — a dozer on excavation, a concrete truck on concrete — that qualifies inbound leads round-the-clock. The Plan Room centralizes every bid package: vendors register, get role-based access, automated reminders go out at 2 weeks / 1 week / 3 days / 1 day. The admin dashboard rolls all of it up with daily AI synthesis.

01

Animated equipment chatbots

Each service page (excavation, concrete, demo, etc.) has a contextual mascot that drives onto the screen and qualifies leads with GPT-4. Detects bid intent and routes the conversation.

02

Vendor Plan Room

Subcontractors register, get approved, access bid documents, RSVP, and submit bids — all tracked. Automated reminder schedule built in.

03

CallRail integration

Phone-call lead attribution flows into the same dashboard as form submissions and chatbot conversations. One picture of pipeline, not three.

04

Daily AI brief

GPT-4 generates a daily insight feed for the operators — what changed, who reached out, what needs attention.

05

Content feed

Job-site photo and video posts from the field show up live on the homepage. Brandon posts from his phone; site visitors see fresh proof.

Two AI surfaces: customer-facing chatbots that qualify in real time, and an internal AI that synthesizes the firehose of phone, form, and chat lead data into one daily brief.

Page-context chatbot

GPT-4 with per-page system prompts. The dozer on the excavation page asks different questions than the concrete truck on the concrete page.

Lead routing intelligence

Parses chat for bid intent, project size, and timeline. Routes high-intent leads directly to Andrew & DJ.

Daily insights synthesis

Aggregates CallRail, chatbot, form, and vendor data into a morning brief.

Future: meeting transcription

Whisper API integration planned for surfacing tasks from call recordings.

01

Equipment as identity

No other contractor site has animated heavy equipment driving onto the page to talk to leads. Memorable enough that competitors notice.

02

Plan Room replaces the email chain

Subs can't miss a bid because the email got lost — they get tracked reminders, deadline alerts, and full audit trail.

03

Pipeline in one pane of glass

Phone leads, form leads, and chatbot conversations roll up to one dashboard with one daily brief. No dashboard hopping.
